Abstract Submission Guidelines


Call for Abstracts open

Abstract submissions are welcome for consideration for the
21st International Vasculitis Workshop,
which will be held in Barcelona, Spain, 7 – 10 April 2024.

Submission deadline extended until December 18th 2023.

Important Note:

  • Abstracts submitted after December 4th will be notified about the acceptance later than December 20th and there is no guarantee about the inclusion of these abstracts in the publication.
  • Abstracts submitted until December 4th cannot be modified after this deadline in order to be reviewed and notified on due date.
Submission Process

The abstract submission process for Vasculitis Workshops 2024 is available through an online submission portal. All abstracts must be submitted exclusively through the online platform before the submission deadline (December 4th 2023).

If you have successfully submitted your abstract, you will receive a confirmation number and an acknowledgement email. If no reference number is received, the abstract cannot be considered as successfully submitted. If you leave the system without finishing the process all data will be lost.

You will be able to modify your submission until the submission deadline. Use the online submission form to access your submission again using the contact-person email address and the password received in the acknowledgement of receipt.

Important Information on the Submission Process

It is ESSENTIAL that you read the instructions below before you submit.

  • The Presenting Author must submit the abstract and is required to be the corresponding author for that abstract.
  • You do not need to register for the Workshop to submit the abstract; however, registration is mandatory following acceptance. Presenting authors must register by Monday 15th January 2024 to benefit from the early bird registration fee. Final deadline for registration is Wednesday 31st January 2024.
  • All abstracts must be received by the submission deadline to be included in the review. Abstract submission deadline will not be extended. Exceptionally, special circumstances (i.e. late-breaking abstracts) may be discussed via e-mail at

  • Abstracts must be submitted in English.

Submitters will be asked to submit their abstract in the fields of vasculitis and related diseases under one of the following topics in the submission portal:

 

1.    CLINICAL SCIENCE

1.1   Diagnosis and classification: imaging (role in diagnosis, new tracers); pathology...

1.2   Treatment: clinical trials (new trials, post-hoc analysis, long-term follow-up); real world data with new therapies; observational studies; emerging therapies (i.e. CAR-T, multi-target molecules); classical and new treatment optimization for special situations (frailty, advanced age…)…

1.3   Specialized management of specific situations: subglottic stenosis, vascular reconstruction and endovascular intervention, renal transplantation, cutaneous necrotic lesions, pregnancy...

1.4   Disease Assessment: activity, damage, response and remission criteria, imaging...

1.5   Outcomes: remission, relapse, mortality, patient reported outcomes...

1.6   End-organ damage: kidney failure, pulmonary and cardiac fibrosis...

  1. CASE SERIES OR CASE REPORTS OF SPECIAL INTEREST
Presentation Type
ABSTRACT SESSIONS INCLUDE:    

An abstract may be submitted for presentation at the Workshop as one of the following categories:

  • Oral or Poster Presentation
  • Poster Presentation only
  • Small Clinical Case Series or Case Reports (Poster Presentation)

At the review stage, the Programme Committee may change the presentation type submitted by the author to ensure the continuity of the Workshop programme i.e. oral presentation may be changed to poster presentation. The presenting author will be informed of a change to his/her submitted presentation type at the acceptance notification stage. The decision of the programme committee is definitive.

Abstract acceptance will be in one of the following categories:

Oral  Presentation Format:
Presentation specifications will be tailored to the specific Abstract Session. Details will be provided upon acceptance.

Poster Presentation Format:
Authors of accepted poster abstracts will be asked to produce a poster for display at the Workshop. Details of poster specification will be given at time of notification. 

Abstract publication only:

In case submissions exceed the available space, some accepted abstracts may be exceptionally selected for publication only.

Abstract Publishing

Accepted abstracts will be published digitally. Abstract publication is a condition of acceptance. All abstracts accepted must abide by guidelines and editorial requests. This may include shortening of abstracts before they are published.

Disclosure Policy

Vasculitis Workshop 2024 Organisers will provide high-quality sessions focused on educational content that is free from commercial influence or bias. Thus, the submitting author of an abstract is requested to declare potential conflicts of interest for all authors during the abstract submission.

All authors must disclose relevant financial relationship(s) at the time of submission.

Submission Guidelines and Templates

Please adhere to the following formatting guidelines when preparing abstracts for submission for Vasculitis Workshop 2024. Abstracts which do not adhere to the guidelines will not be reviewed.

Who submits the abstract?
The Presenting Author must submit the abstract and will act as the main point of contact for the abstract with organisers. 

Upon successful submission of the abstract a confirmation email will be sent to the Presenting Author. If you have not received a confirmation email, please contact the technical secretariat at: This email address is being protected from spambots. You need JavaScript enabled to view it.

IMPORTANT INFORMATION:

  • Abstracts must be prepared and uploaded in a .doc or .docx file (Open Office files will also be accepted). The name of the file should not identify the authors, in order to guarantee a double blinded revision.
  • Only the abstract text must be included in this file. Title, authors and affiliations must NOT be included in the file. There are separate fields to include this information through the submission form.
  • Body character limit: 2750 characters, which EXCLUDES the title, names of authors/co-authors, authors' affiliations and spacing. Abstracts exceeding the character limit after the closure of the submission deadline will be ineligible for review. Please revise that your file meets this request before uploading it to the platform.
  • Maximum total length (with title, authors and affiliations) should not exceed 3000 characters, excluding spacing. Please revise that you do not exceed this limit to guarantee the publication of your contribution in case of acceptance.
  • Abbreviations should all be spelt put on first mention.
  • One figure or table is allowed. It must be embedded in the file with the abstract text.
  • Figure files should be publication-quality (300dpi minimum) and in a common image format.
  • Figures and tables should be embedded in the Word document.
  • Captions should be part of the Word documents (and hence editable text) and not set as part of the images.
  • Number tables and figures, and ensure they all have a legend. Define the significance of any bold or italic formatting in your tables.
  • Figures should be cited in the text and positioned as closely as possible to the relevant abstract, to support accurate layout during typesetting.
  • Use of the templates provided below is highly recommended.

  • Methods:Patients, methods, and analytical techniques employed
  • Results:Objective data to answer the scientific question(s)
  • Conclusions:Conclusions reached, please avoid over generalisation and speculation.
  • References:(Up to 5) All references should be cited in the text. They should include journal, volume and page details.
  • Disclosures: All authors must disclose relevant financial relationship(s) at the time of submission. If there are no disclosures, please write ‘None.’

Additional Information:  

  • Data Consent: Your personal data (name, organisation, country and email) will be shared with Workshop organisers and session chairs for the purpose of conducting the review and compiling the programme. If you do not wish your information shared with these stakeholders, you will be excluded from the review and programme. 
  • Case Participant Consent: Case Report Submissions: Consent from case participants must be obtained prior to submission of case reports by the authors.
  • Consent from Authors: You are required to confirm that you have received permission from all authors to share their contact details with Workshop organisers, reviewers and session chairs/moderators for the purpose of conducting the review and compiling the programme. If they do not wish their information shared with these stakeholders, the abstract will be excluded from the review and programme. 
  • Publication of Abstract: All accepted abstracts will be displayed in the Workshop website and in a potential Workshop app (to be confirmed), and will be published digitally in an associated journal or open-access platform (to be decided). Authors name & affiliation will appear alongside the information provided in the abstract submitted. This is a condition of acceptance. These abstracts may be subject to editing.  
  • Previously Presented or Accepted Abstracts: Abstracts that have been previously accepted and / or presented at other meetings are eligible for submission. These abstracts will go through the same peer review as any other abstracts.  If the abstract has been accepted for another conference or has previously been presented at another conference, please list the Conference name within the abstract portal.
  • Abstracts that report work that has been published as a manuscript (i.e., full-length article, brief report, case report, concise communication or letter to the editor etc) prior to the abstract submission deadline are ineligible for consideration.

    Abstracts that report work that will be published as a manuscript (i.e., full-length article, brief report, case report, concise communication or letter to the editor etc) between the abstract submission deadline and the workshop dates are eligible for consideration if the publication of the abstract does not interfere with the journal embargo rules and provided that the abstract to be published would be still original in the workshop dates.

  • Disclosure Policy: The submitting author of an abstract is requested to declare any potential disclosures for all authors during the abstract submission. All authors must disclose any relevant financial relationship(s) at the time of submission. 
  • Experimental Procedures: Work with human or animal subjects reported in submitted abstracts must comply with the guiding principles for experimental procedures found in the Declaration of Helsinki of the World Medical Association.
  • Permission to reproduce any 3rd-party material (i.e., material previously published elsewhere) should be obtained (see guidelines here); permission should be:
    • Not time-limited
    • Not geographically limited
    • For print and online publication
    • Any required acknowledgement to the rights-holder should be present in the manuscript files
    • Please note that permission should be formally sought and obtained from the Publisher of the original publication- not the author.
  • Registration Bursary: Please indicate if you would like to be considered for a registration bursary.
  • Career Training Grade: Please select your career grade:

Review

All abstracts will go through a blind peer-review carried out by reviewers selected by the Vasculitis Workshop 2024 Programme Committee.

Notification of acceptance or rejection to the programme will be sent to the submitter on 20th December 2023.

Notification of the presentation type will be sent to submitters of accepted abstracts on 8th February 2024.

Registration of the Abstract Presenter

When notified of acceptance, the Presenting Author is required to accept the offer by registering for the Workshop and paying in full by Monday 15th January 2024.

  • If a presenter fails to register by Monday, 15th January 2024 will not benefit from the early-bird rate.
  • If a presenter fails to register by Wednesday, 31st January 2024 will be removed from the programme and removed from all Vasculitis Workshop 2024 related publications.
Withdrawal Conditions & Changes of Presenter

Terms and Conditions
  • The abstract submitted adheres to the abstract submission guidelines outlined on the Workshop Website.
  • As English is the designated language for the meeting, abstracts must be submitted in English and presentations conducted in English
  • Every abstract can only be submitted once for the Vasculitis Workshop 2024. 
  • It is the responsibility of the presenting author to submit the abstract. He/she will be the main contact and it is his/her responsibility to communicate decisions to other co-authors.
  • The presenting author need to be available to present at the congress between 7 – 10 April 2024.
  • The presenting author must register and pay in full by the deadline indicated in the abstract review outcome email. If they do not register and pay in full, the abstract will be removed from the programme and any associated publications.
  • The text of the abstract, along with the names and affiliations, poster and/or additional documents as requested, will be published in the workshop website, in an associated journal or open-access platform (to be decided), and in a potential workshop app (to be confirmed), and this will not raise any copyright issues.
  • A submission as a particular presentation type or topic may be changed to a different category following review by the Programme Committee before being included in the programme.
  • Presenters may be recorded for live streaming. A recording of the presentation and a copy of the slides may be published online after the congress (to be confirmed).
  • Abstracts not adhering to these guidelines will be rejected. The final decision regarding acceptance of an abstract will be taken by the Vasculitis Workshop 2024 Scientific Programme Committee. No correspondence on the reasons for acceptance/rejection will be maintained.
